Document Preparation Timeline

From the time your order is confirmed and coffee is packed, here's how the documentation timeline unfolds before shipment departs.

Order Confirmed — Commercial Invoice & Packing List Drafted
Willkin prepares the Commercial Invoice and Packing List immediately after order confirmation and proforma invoice acceptance. These are sent to you for verification before any government document is requested.

Fumigation Arranged at Warehouse
After coffee is packed into bags and weighed, fumigation is performed at the warehouse by a licensed company. The Fumigation Certificate is issued 24–48 hours after treatment is complete.

BARANTAN Inspection → Phytosanitary Certificate
BARANTAN inspectors visit the warehouse to physically inspect the coffee. They check for pests, moisture issues, and contaminants. After passing, the Phytosanitary Certificate is issued (usually 3–5 working days from application).

Ministry of Trade → ICO Certificate of Origin
The ICO Form CoO is applied for at Kementerian Perdagangan (Ministry of Trade). Requires the Commercial Invoice, Packing List, and confirmation of export registration. Issued in 2–5 business days.

Coffee is loaded into the container. A Sucofindo or SGS surveyor witnesses the stuffing and confirms the final weight. The Certificate of Weight is issued on the same day or next working day.

Vessel Departs — Bill of Lading Issued
After the vessel departs, the shipping line issues the Bill of Lading (3–5 business days after departure). Willkin sends you all document scans digitally at this point. Original documents follow by DHL courier.
